UNITED VINTAGE UK – RETURNS & REFUND POLICY

1. Introduction & Scope

At United Vintage UK, we are more than a vintage wholesaler — we are a sourcing partner for resellers and vintage businesses across Europe and the United Kingdom.

Born from years of experience in the vintage resale industry, we understand the realities of second-hand clothing: grading variations, authentic wear, and fast stock rotation. Our goal is to provide transparent, fair, and business-oriented policies.

Because purchases made through United Vintage UK are intended for professional resale purposes, this policy follows B2B commercial regulations and not standard consumer retail regulations.


2. Product Grading & Vintage Nature

All products sold by United Vintage UK consist of authentic vintage and second-hand clothing.

Each order is hand-sorted and categorised according to industry-standard grading systems (Grade A / B / C / D).

Due to the nature of vintage clothing, items may include:

  • Light fading
  • Minor stains
  • Signs of wear
  • Small repairs
  • Variations in sizing or colour
  • Vintage odours from storage or transport

A grading tolerance and natural variation of approximately 10–15% is standard within the vintage wholesale industry.


2.1 Grading Descriptions

Grade A

Items are in very good vintage condition with minimal visible wear. Pieces are generally clean, wearable, and free from major defects.

Grade A/B

A mix of Grade A and Grade B items. Some pieces may be near-perfect while others may show moderate signs of wear.

Grade B

Items may include visible wear such as washable stains, fading, minor holes, or repairs. Suitable for resale after cleaning or processing.

Grade B/C

Items contain more noticeable defects including heavier wear, marks, larger stains, holes, or damaged areas.

Grade C

Items show significant wear and may require repair, upcycling, or heavy cleaning.

Grade C/D

Low-grade stock intended for recycling, rework, export, or creative reuse. Heavy defects should be expected.


3. No Change-of-Mind Returns

United Vintage UK does not accept returns or refunds for:

  • Change of mind
  • Personal preference
  • Disliking styles, colours, or brands received
  • Resale performance expectations
  • Shop fit or aesthetic preferences
  • Minor grading variations within industry tolerance

All sales are considered final unless there is a verified fulfilment error.


4. Authorised Returns Only

Any return request must first be authorised by our support team.

Eligible return situations may include:

  • Incorrect grade shipped
  • Wrong category received
  • Major fulfilment error
  • Significant mismatch with product description

Non-eligible situations include:

  • Grade B/C/D defects
  • Vintage wear consistent with grading purchased
  • Small stains, fading, marks, odours, or sizing variations
  • Unsold inventory or slow resale

5. Return Request Deadlines

To request a return, customers must contact us within:

  • 24 hours of delivery for Grade A issues
  • 24 hours of delivery for incorrect orders
  • Include:
    • Order number
    • Clear photos/videos
    • Full issue description

Claims submitted outside this timeframe may be refused.


6. Return Conditions

Approved returns must:

  • Remain sealed and unused where applicable
  • Be returned in original packaging
  • Not be washed, altered, repaired, or relabelled
  • Be shipped with tracked delivery

United Vintage UK reserves the right to refuse altered or incomplete returns.


7. Return Shipping & Customs

Return shipping costs

Return shipping is the responsibility of the customer unless the error was caused by United Vintage UK.

Customs & import charges

For international orders:

  • Customs duties
  • Import taxes
  • Clearance fees

are strictly non-refundable.

United Vintage UK is not responsible for delays caused by customs authorities or carriers.


8. Refunds, Credits & Exchanges

Once a return is approved and inspected, one of the following resolutions may be offered:

  • Store credit
  • Partial refund
  • Exchange
  • Full refund (for verified major fulfilment errors only)

Refunds are issued to the original payment method whenever possible.

Store credits remain valid for 6 months from issuance date.


9. Order Cancellations

Orders cannot be cancelled once preparation or fulfilment has started.

Because stock is reserved and processed immediately after purchase, cancellation requests submitted after processing may be refused.


10. Grade B/C/D Stock Policy

All Grade B, B/C, C, and C/D products are sold at discounted wholesale pricing due to their condition.

By purchasing these grades, customers acknowledge that:

  • Defects are expected
  • Heavy wear may be present
  • Repair or cleaning may be required
  • Items are sold for resale, recycling, or processing purposes

These grades are therefore:

  • Non-returnable
  • Non-refundable
  • Non-exchangeable

except in cases of verified fulfilment error.


11. B2B Commercial Terms

United Vintage UK primarily supplies:

  • Resellers
  • Vintage stores
  • Online sellers
  • Market traders
  • Professional buyers

Transactions are therefore considered business-to-business (B2B).

Consumer protection regulations applicable to standard retail purchases may not apply where purchases are made for commercial resale activity.


12. Delivery Estimates

Shipping and delivery timeframes provided on the website are estimated only.

Delays may occasionally occur due to:

  • Customs inspections
  • International transport disruptions
  • High seasonal demand
  • Carrier delays
  • Import/export processing

United Vintage UK cannot be held responsible for delays outside of its reasonable control.
